We are committed to respecting your personal data and keeping it safe. This privacy notice is to inform you why this is important, how we handle any data you provide to us through our website and how we communicate electronically. We aim to be clear about our processes when we collect your data and will not do anything with your information that you wouldn’t reasonably expect. For the purpose of the Data Protection Act 1998 and General Data Protection Regulations (GDPR) our data controller is Ellen Victoria Gosling.
What we do with your data?
Event administration
We need to collect and use certain information from you in order to provide services to you (for example, to deliver the event for which you register). This includes, but is not limited to: emailing race day instructions to you, including your name in the correct results category, providing you with your results and sharing any photographs taken. If you provide health information, we will only use this for the purposes of ensuring your safety during our race(s) by sharing it with our First Aid provider. This information will be destroyed within one week of the event. We will also process your data to inform you when the event takes place again in future (for up to two years).
In the event of an emergency we may need to share your data with emergency services to protect your vital interests.
Collection, storage and sharing of data
We only collect your personal data from you directly. We do not share your data with anyone other than those involved in delivering our events (for example the timing supplier or race partners). Each of these suppliers is responsible for their own Privacy Policy*; we have no control over the contents of these, but legally they must all comply with the Data Protection Act 1998 and from 25 May 2018, with the GDPR.
Some of our suppliers may run their operations outside the EEA (European Economic Area). Although they may not be subject to same data protection laws as companies based in the UK, they provide an adequate level of protection in accordance with UK data protection law. By submitting your personal information to us you agree to this transfer, storing or processing at a location outside the EEA.
We will process your data for up to two years after which it will be erased, unless you subsequently register for another event, or you subscribe to our emails.
Communication
If you give us your consent, we will contact you about the other events that we run which we think you might be interested in, as well as providing news and information to assist with your training in general. We may also contact the parents of ‘Reading Rascals’ about offers and kit/merchandise available. You can withdraw consent or change your communication preferences at any time and a link is provided in all our emails for this purpose.
Your rights
The Data Protection Act 1998 and GDPR give you the right to request a copy of the personal data we have for you and to edit this data to ensure it is accurate. You may also request to have it erased from our records under the GDPR. Where you have provided your consent for our use of your personal information, you always have a right to withdraw your consent at any time.
If you would like to change your preferences or update the details we hold about you, please contact us on info@barnesfitness.co.uk.
Google Analytics
We use Google Analytics to collect information about visitor behaviour on our website. Google Analytics stores information about the pages you visit, how long you are on the site, how you got here and what you click on. This Analytics data is not tied to personally identifiable information so this information cannot be used to identify who you are.
If you have a complaint, or think your data has been misused or hasn’t been kept secure, you should contact us immediately. If you are unhappy with our response you can contact the Information Commissioner’s Office (ICO) on 0303 123 1113.
